Under the direction of the VP, Accreditation, responsible for overall coordination, processing and maintenance of systems and activities pertaining to the accreditation process including CMS required reports, site visit reports, telephone coverage, and accreditation file management. Responsible for supervision of the accreditation specialists, site visit scheduling, provider records functions and staff.
As a member of the organization’s leadership team, supports mission, vision, and goals to ensure organization is the preferred accreditor of home and community-based care providers and a thought leader.
Directs day to day functions of team of accreditation specialists. Selects, trains, evaluates, coaches, counsels, and develops staff in areas under supervision to assure goals are met accurately and on time. Plans and conducts activities to ensure retention and ongoing development of staff members.
Manages, supervises and maintains office systems for all documents and data related to the accreditation process, including applications, contracts, self studies, site visit reports, accreditation reports and CMS documents and reporting.
Provides training, direction and supervision to ensure proactive customer service from all department team members, to support organizational growth and customer service goals. Ensures all team members follow organization’s Customer Service Standards.
Ensures agency files are maintained in an orderly manner, with documents incorporated in a timely manner, with all required documents retained per policy, and that records are secured at all times. Manages CMS documents and reporting requirements of survey results, and roster of accredited organizations.
Ensures all visits scheduled, completed and communicated in time standards per policy and Board of Review requirements.
Ensures contract and accreditation periods are established and maintained per policy, CMS requirements and customer needs. Applies site visit day and accreditation fees to contracts, seeking CEO review and approval of all corporate agreements and those which require individualized planning and pricing.
Trains or arranges for training for all department staff in use of all ORGANIZATION systems, automated and manual, and supervises to ensure data integrity, timely accreditation contract renewals and site visits. Produces final CMS reports and transmits to national, regional and state CMS offices.
Prepares and monitors reports of key performance indicators. Ensures accurate data collection, and designs and performs queries on all operating system to monitor and improve process and customer service.
Participates in telephone triage system and responds to general constituent questions as appropriate.
Provides relief support for Finance as needed.
Education, Training and Experience
Bachelor’s Degree in Nursing (or related specialty) preferred.
Three to five years’ experience in accreditation/standard adherence and three years managerial/supervisory experience required.
Demonstrated ability to manage systems and supervise individuals to achieve outcomes.
Demonstrated competency in Microsoft office, Access and related applications, web-based applications, and working knowledge of project management required.
Demonstrated ability to communicate effectively both verbally and in writing, with diverse populations.
Demonstrated ability to maintain confidentiality.
Demonstrated ability to problem solve, set priorities, delegate and follow up on many different tasks and projects simultaneously while working collaboratively with peers and staff
Strong Microsoft Office skills, especially excel, required. Experience with Database systems, preferred.
This position involves full time work based in the Washington, DC office. Due to the nature of this job, lifting of materials and equipment of up to 50 pounds is required. Extended periods of sitting/standing are required.
Some local and national travel is required. Speaking in fluent English is required as are excellent writing skills for written correspondence. The candidate must be able to hear, see and comprehend written documents to effectively perform this job. Extensive work on a PC and telephone, at a desk, is required.
